PrintShop Mail's RTF support allows for extra control of text formatting


PrintShop Mail is our most-popular variable-data-printing software. PrintShop Mail makes it easy to add variable text, variable graphics, and variable bar codes to a PDF file. You can also use PrintShop Mail independent of PDF files.

When it comes to formatting your text, there are some things that you might want to do with PrintShop Mail that aren't supported by PrintShop Mail itself — but in many cases you can accomplish what you need to do by exploiting PrintShop Mail's support for the RTF format. (RTF stands for "Rich Text Format." RTF is text-formatting technology that's used by Microsoft Word.)

Here's how it works: Let's say you want to space a series of characters either closer together than normal or farther apart than normal. PrintShop Mail itself doesn't have a feature that allows you to do this. However, you can achieve what you need to do by creating some text in Microsoft Word (click Format > Font > Character Spacing) and then copying the text from Microsoft Word and pasting it into PrintShop Mail. PrintShop Mail will retain the formatting that you applied in Microsoft Word.

You can use this technique with static text, variable text, or a mixture of the two. For example, to modify the character spacing for
"Hello, John. You can save $50 on a new winter coat this week only at Coats R Us."
you'd follow this procedure:
  • In Microsoft Word, type:
    Hello, @FirstName@. You can save $50 on a new winter coat this week only at Coats R Us.
    (Of course, for FirstName, you'd substitute the appropriate field name in your data file.)

  • In Microsoft Word, use your mouse to select the text that you typed; then choose the font and font size that you want; then click Format > Font > Character Spacing, and set the character spacing the way you want.

  • Now copy the text from Microsoft Word to PrintShop Mail. PrintShop Mail will retain the formatting that you applied in Microsoft Word!
