Citation Software offers a variety of solutions for
automated data cleansing that allow you to
manage name/address/phone-number data, etc.
Use these products to prepare bulk mailings, or use them for
general data-cleanup tasks and address-standardization tasks.
Scroll down this page to learn about the various solutions —
or read more here first to get a general overview.
Some of these solutions handle data for the
United States and Canada only; others deal
with data for many countries.
Here is an overview of what you can do with these solutions.
If you have a list of names, addresses, and other data,
you can:
- make sure that the addresses are all valid
- add missing Zip codes
- add a special U.S. Postal Service code called a "Delivery Point Code"
- add phone numbers
- add gender information depending on name
- re-arrange name-and-address data so that the various pieces of information are in the right place
- clean up and organize jumbled mailing lists
- get Standard Industry Codes (SIC) for individual businesses
- remove duplicate information from a name-and-address list
- combine several name-and-address lists into one list
- get the geographical location (latitude & longitude) for an address
- put names and addresses into the order needed for taking advantage of U.S. Postal Service discounts
- print special forms and package labels, etc. that the U.S. Postal Service requires
- merge names and addresses into a form letter
- print U.S. Postal Service POSTNET bar codes on your documents
- and much more!
Also, if your company has a computer system that allows people to type an
individual name and address into an electronic form, we can provide software
that will:
- automatically make sure that the address is okay as soon as it is typed!
- find out what the complete address is even if the person typing it does not know the whole address!

MatchUp
|
|
MatchUp (formerly named DoubleTake) is an extraordinary
merge/purge solution that
allows you to process files in different formats,
with different field structures, without taking the time
to manipulate the files and get them all into the same
format with the same field structure. For example, you
can process dBASE, Xbase, and ASCII files in one run — and
it's okay if the names and addresses are not in the same fields
in all of the files.
Complete CASS certification reports are provided.
You can do direct processing of Microsoft Access, Microsoft Excel,
dBASE, ASCII, SQL Server*, DB/2*, and Oracle* tables. Both input
and output of these formats are supported.
|
MatchUp does suppression and intersection runs;
parses street addresses; gives you precise control over how
matching is done; splits name fields, address fields, and
city-state-zip fields on the fly; and much more. And, it generates
editable reports.
Save time de-duping up to 512 files in one run!
You can also work with ODBC-accessed files directly.
MatchUp does suppression and intersection runs; parses street addresses;
gives you precise control over how matching is done; splits name fields,
address fields, and city-state-zip fields on the fly; and much more.
You can merge files with different field structures directly.
MatchUp is lightning-fast: about 500,000 records per hour, depending on processor.
|
|
|
MatchCodes
|
|
Match Up allows for the use of up to eight "matchcodes"
in a single run for quick, thorough results. You can set one code
to search on addresses, a second to search on on phone numbers, etc.
If any matchcode hits, dupes are recorded! You can easily create
unique matchcodes that look for any length of data from any place
in any field.
Select from exact matching, Soundex, or Phonetics matching
(which recognizes phonemes like "ph" and "sh").
MatchUp also recognizes nicknames (Liz, Beth, Betty, Betsy, Elizabeth)
and alternate spellings (Gene, Jean, Jeanne).
You can also save matchcodes and use them again in the future — a
great time-saver for frequently-used files.
|
MatchUp is available as a desktop application with a
graphical user interface (GUI), and it's also available
in the form of a programmer's toolkit (API).
Two desktop versions of MatchUp are availalbe:
- MatchUp With CASS. This is a subscription-based product.
It costs $3,350.00 USD for the initial purchase, which
includes a one-year CASS subscription. The annual renewal fee
for the CASS subscription is $1,250.00 USD.
- MatchUp Without CASS. This is not a subscription-based
product. Our price for this product is $2,895.00 USD.
Our price for the MatchUp programmer's toolkit is $3,895.00 USD.
This is a one-time cost — the programmer's toolkit is
not a subscription-based product.

matchIT
|
The matchIT products are data-quality systems. These products are available as a
desktop system with a graphical user interface (GUI) for Windows,
and they are also available as programmer's toolkits/libraries/SDKs.
DESKTOP SOFTWARE: matchIT Data Quality Suite
The matchIT Data Quality Suite is an accurate and modular batch data-quality software system
for the Windows desktop. The suite consists of several scalable configurations and individual modules
for de-duplication, suppression, enhancement, address validation,
extraction and standardization of customer data — all within one streamlined workflow.
|
|
matchIT utilizes sophisticated, best-of-breed matching algorithms to identify
potential duplicate records.
|
|
|
|
|
|
matchIT offers a user-centric interface designed to minimize the skill level required to perform
complex tasks. The matchIT Data Quality Suite is modular and scalable,
yet even when fully configured it operates as one seamless work environment.
matchIT can automatically read and map data based on a sampling of the contents
of each field — even when the data is supplied without a header row (i.e., without field names).
|
Features
Here are just some of the features supported by the matchIT software:
- Imports all common file types: Access, DBF, ASCII (CSV, tab-delimited,
or pipe-delimited), fixed width, Visual FoxPro, Paradox, more.
- Exports to all common file types: Access, DBF, ASCII (CSV, tab-delimited,
or pipe-delimited), fixed width, Visual FoxPro, Paradox, more.
- ODBC support for imports and exports.
- Interactive verification of matches.
- Effective matching of business data.
- Effective matching of consumer data.
- Phonetic matching.
- Non-phonetic fuzzy matching.
- Drill down to suspect data.
- Detailed reporting.
|
matchIT's "addressIT" module
Accurate addresses are an integral component of effective marketing and
customer-data management. matchIT's addressIT module extends the capabilities of
the matchIT suite to standardize addresses to USPS regulation and provide
address validation for each individual delivery point. The addressIT module
is fully certified by the U.S. Postal Service to:
- Correct misspellings, directionals (N, SE, etc.) and designators (ST, BLVD, etc.).
- Update 5-digit ZIP codes and add the ZIP+4 codes and carrier routes.
- Assign Line -of-Travel (LOT) for greater postal discounts.
- Add congressional and county codes.
- Correct multiple lines of address information.
- Identify and analyze un-coded addresses so previously undeliverable addresses
can be corrected and included with the rest of your mailings.
Delivery Point Validation takes address correction to the highest level by
interrogating the address at the building level to determine whether an
address is deliverable.
matchIT's "suppressIT" module
The suppressIT module is designed to screen your data against a multitude of
industry-standard suppression files. It can accommodate multiple file comparisons of both
mailing-suppression data and telephone-suppression data.
Proprietary matching algorithms ensure that you achieve the highest hit rates and
accuracy when comparing suppression files against your database or marketing lists.
suppressIT can detect potential matches such as "Bill Dayton Jr." at CNN, and
"Deighton, William Robert" at Cable News Network, LP, even if address
information is entered incorrectly. And, suppressIT can perform this matching process
across dozens of files in one single job.
Suppression files currently available include
- DMA do-not-mail (MPS)
- Deceased do-not-contact (DDNC) lists for both the US and UK
- the Equifax disConnect file (encompassing over 25 million records), for the UK.
- DMA Telephone Preference Service (TPS)
- Wireless Block Identifier (WBI)
- Wireless Ported Number list (WPN)
Third-party party suppression files may also be loaded into the suppressIT module,
including the National Do-Not-Call registry.
PROGRAMMER'S TOOLKITS/LIBRARIES/SDKs: matchIT APIs
The matchIT API is divided into three programmer's toolkits:
- matchIT Batch Toolkit:
Use this toolkit for batch data quality and identification
of matching records for de-duplication, merge/purge, etc.
The matchIT Batch Toolkit, unlike most competing products, deals effectively
with poorly structured data.
- findIT Duplicate Prevention Toolkit:
This toolkit can help you to
eliminate duplicate contact entries at the point of entry. The toolkit
accomplishes this by performing a fuzzy-matching lookup as the record is keyed
to check whether the record already exists. To further improve data entry, there is an
available toolkit
to incorporate rapid addressing. This technology is designed to greatly
reduce the number of keystrokes required to complete an address
(typically requiring fewer than 15 keystrokes) and validate the address against
the U.S. Postal Service (USPS) data file.
- cleanseIT Web Entry Toolkit:
This is a cleansing component for case correction,
genderization, salutation, and name-splitting.
The cleanseIT Web Entry Toolkit can help you to make the most of your Web
data by screening for garbage and offensive entries. You can specify
your own parameters for this and instruct cleanseIT on how to deal with such data.
Not only can cleanseIT work directly with Web data as it is entered, but it
allows you to simplify Web forms. It can case the data correctly, expand
abbreviations, split data into the correct fields, and create salutations
to personalize the dialog.

MAILERS+4 is CASS-Certified mailing-list software (bulk-mailing software).
Available for Windows computers, this easy-to-use software lets you automate your mailing process so
that you can meet
the U.S. Postal Service's requirements for maximum postage discounts.
MAILERS+4 is one of the most affordable bulk-mailing solutions availalbe.
Two versions of the MAILERS+4 software are available. One version is called, simply,
MAILERS+4, and the other version is called
MAILERS+4 Professional.
learn about the differences between MAILERS+4 and MAILERS+4 Professional.
|
The MAILERS+4 software verifies and standardizes addresses against a U.S. Postal Service
database called the DPVTM database; adds nine-digit ZIP codes;
eliminates duplicates (merge/purge); does postal presorts; prints bar-coded labels,
tags, and required postal forms; and handles other, miscellaneous tasks.
The MAILERS+4 products are CASS certified,
PAVE certified, and
POSTNET certified by the U.S. Postal Service.
The software prints the required 3553 CASS form.
Using the MAILERS+4 software will help you save on postage and printing,
eliminate costly duplicates, boost response rates for direct-mail
campaigns, and get your mail delivered faster.
|
|
|
Address Check feature
The "Address Check" feature appends the nine-digit ZIP
code (ZIP+4), the Delivery Point Code (DPC), and the check
digit (parity digit) to each record. The Address Check feature
can also append marketing data to your files
such as county name, time zone, MSA, PMSA, congressional district,
latitude & longitude, address type, Line of Travel (LOT) number and more.
Automatically presorts for postal discounts
MAILERS+4 presorts First-Class, Periodical and Standard Mail. The sort is
optimized to get you the lowest possible postage. It handles letters, flats,
and postcards. It works with both profit and non-profit mailings. It supports
the Enhanced Carrier Route subclass with Line of Travel (LOT). It also

3600 series report and the Tray and bundle report that are required by
the U.S. Postal Service. It's easy to use and very fast!
Differences between MAILERS+4 and MAILERS+4 Professional
As the name implies, MAILERS+4 Professional does some things that MAILERS+4 does not do.
MAILERS+4 Professional can do the following things, but MAILERS+4 cannot:
- batch-mode processing
- latitude & longitude append
- demographic profiling
- name parsing
- genderization of first names
- area code update, verification & correction
- finding records in a radius
- finding ZIP codes in a radius
- mail merge

RightFielder 3
|
|
|
RightFielder 3 is a program that straightens out jumbled databases! If you have
databases with fields in different orders and/or with
the wrong information in the wrong fields (for example,
company name is in the city field, state is in the Zip code
field, etc.), RightFielder 3 is for you!
Believe it or not, RightFielder 3 even works in situations where you've
got more than one kind of data in the same field (for example, if the
city and state are together in one field).
|
RightFielder 3 can even convert
"print image" files and "label format" files
to flat files! And, it handles
addresses outside the United States.
RightFielder 3 is fast! It can process up to 1,000,000 records per hour
(depending upon the complexity of the processing tasks, and depending upon
your computer's configuration).
RightFielder 3 examines each field in a record, figures out what you've got,
and "right fields" the data, moving names into name fields,
companies into company fields, etc.
RightFielder 3 distinguishes between name fields, titles, departments, companies,
street addresses, cities, states, zip codes, and phone numbers.
|
|
|
Gets the job done with ease and flexibility
The picture below shows a sample record from a "top justified" file. Notice that
SUITE 120 is below the primary address, ONTARIO is spelled out, and the
Postal Code is off on its own. To top it all off, somebody put
ATTN: SUSIE as the last address line!
In the record's output, RightFielder 3 has moved SUSIE into the "Name" field and
SUITE 120 into the "Secondary address" line. With RightFielder 3 you
have the option to keep your address lines as entered, put primary above secondary,
put secondary above primary, bottom justify, or top justify. It's all up to you!
Next, RightFielder 3 went to work on the city/st/zip data. TORONTO and ONTARIO
have been parsed and ON given its proper abbreviation.
So in fell swoop you've converted unorganized chaos into accurately fielded data.

|
The RightFielder 3 software is offered both as a desktop application
with a graphical user interface (GUI) and as a programmer's toolkit
with an API. The desktop version costs $675.00 USD, and the
programmer's toolkit costs $945.00 USD.
(Pricing is subject to change without notice.)

Address Object
|
|
Address Object is a developer's toolkit that can be
integrated into your custom applications. It
lets you protect against fraud, waste and
excess shipping and mailing costs by cleaning
up the inaccurate, incomplete
and undeliverable addresses in your database.
Address Object can catch data-input errors and
ensure the integrity of your database. It
is powered by a CASS Certified address-verification
engine and meets the strictest U.S. Postal Service
specifications for address accuracy and ZIP+4 codes.
|
Address Object allows you to:
- Print CASS form 3553
- Verify data at point of entry or in batch mode
- Resolve data inconsistencies
Sample source code is included.
Address Object has a COM interface (for Windows developers).
It is also available for AIX, HP-UX, Linux, and Solaris.
The current version of Address Object includes the
Delivery Point Verification (DPV) functionality,
which allows Address Object to ascertain whether a
particular address actually exists. (With
earlier version of Address Object, this was an add-on.)
|
|
|
Batch or real time
You can use the Address Object software to process
addresses in batch mode,
or you can do real-time processing.
For example, you can use Address Object to develop a
program that verifies batches of addresses on demand or
at scheduled times.
And, you can also use Address Object to
ensure the integrity of your database by preventing
errors before they occur. For example, if visitors
to your Web site enter their addresses into an
HTML form, you can use the Address Object software
to verify each address right then, when the person enters
the information.
|
Features
Address Object offers the following features:
- Verify data in batch or at point of entry
- Append CASS Certified postal codes
- U.S. Postal Service address standardization
- Get latitude & longitude coordinates
- Append county name and time zone
- DPVTM processing for greater accuracy

'Display the results

City = addPtr.City

ZIP = addPtr.ZIP + "-" + addPtr.Plus
|
|
How it works
Address Object’s functionality is divided into four interfaces:
- AddressCheck
- Parse
- StreetData
- ZipData
The AddressCheck interface can verify that an address is a
properly formatted address that matches a valid range of addresses found in
the U.S. Postal Service's ZIP+4 database. The CASS Certified address-checking logic enables
you to claim discounted postage rates for your mailings. Address Object even
generates the form required by the Post Office to claim those discounts.
Address Object can automatically update rural
route addresses that have undergone 911 conversion to standard street addresses.
The AddressCheck interface also enhances your mailing list by providing additional
information, such as Congressional District, County name and FIPS code, time zone,
and several others.
The Parse interface breaks down a street
address into its component parts, such as
street number, directional (S, NW and so on), street name and suffix (ST, RD, BLVD).
If the first pass does not yield the expected results, because the street address follows a
non-standard format, the ParseNext method will offer an alternative parsing.
The AddressCheck interface also parses the submitted data, but the Parse interface can
be used without initializing the data files required for AddressCheck, making Parse
faster to use when full address checking is not necessary.
This interface can also parse Last Line data (city, state and ZIP Code) into the separate
parts. This is handy if your address data comes to you as lines of plain text instead
of discrete fields.
The StreetData interface can match a street
name or just a partial name against a ZIP Code and return the known valid address
ranges that match that pattern. In conjunction with the AddressCheck interface,
StreetData can be used to match incorrect or misspelled addresses to a valid
address range. For example, if "123 Main Ave" is not a valid address for the
ZIP Code, the StreetData interface can determine that the number 123 falls within a
valid range for "Main St," allowing you to use an address record that would otherwise
result in an undeliverable mailpiece.
The ZipData interface performs several functions,
matching geographic data to ZIP Code and city information.
First, the FindZip method returns geographic data about one or more city names that
match the input ZIP Code, including automation (or carrier route) information, country
name and FIPS code, postal facility type, official "last line" indicator, latitude and
longitude for each match. The FindZipInCity methods can return the same information
for every ZIP code that matches that input city and state combination. The
FindCityInState methods can determine if the input full or partial city name matches a valid
city name with the state. This can be useful to help correct misspelled city names in
your mailing list.
Certifications
The Address Object software is CASS-certified by the U.S. Postal service and SERP-certified
by Canada Post.
Highest level of accuracy
Address Object validates addresses to the highest level
of accuracy — the physical delivery point — using
the DPV and LACSLink systems, made mandatory in 2007
by the U.S. Postal Service for CASS Certified processing
and Postal discounts.
Add-ons for Address Object
The following add-ons are available for Address Object:
- Canadian Address Object. This add-on allows you to
validate, correct, standardize, and enhance Canadian addresses.
It standardizes to Canada Post SERP requirements. It also
adds postal code, municipality, provice, and time zone.
- RBDI. This add-on allows you to
determine whether a particular address is a
residential address or a business address.
(RBDI stands for "Residential/Business Delivery Indicator.")
System requirements
Address Object is available for AIX, HP-UX, Linux, Solaris and Windows.
